About this simulation

A 90-minute, 4-round basic Express simulation for Spanish vocational training (Formacion Profesional), module 1282 Gestion de centros veterinarios of the Tecnico Superior en Ganaderia y Asistencia en Sanidad Animal (Real Decreto 1585/2012), also usable in module 1283 Proyecto de ganaderia y asistencia en sanidad animal of the same title. Management only, no clinical content.

The learner is Alba Torrecusa, a newly qualified animal-health technician who runs the agenda, the store and the front office of a fictional small-animal veterinary clinic in Zaragoza through 2027: about 3,100 active clients, two veterinarians, three consulting rooms, an operating theatre and a store of medicines with their expiry dates.

Four situations set the year's course: 31% of last year's consultation time lost and a franchise opening with cheap vaccinations, and how the agenda is built (by type of visit, with emergency slots held) and how the services are priced (from the cost of each service); a year of vaccines on offer, a foreign website selling medicines at half price and stock-outs and expired medicines, and how the medicines are bought (a weekly order to an authorised supplier by consumption) and how the expiry dates are controlled (the store ordered by expiry, checked every month); a summer with two people on holiday at once and clients who do not come back, and how the summer team is organised (a rota built from the agenda) and how clients are won and kept (preventive-health plans, reminders only with consent); and the autumn of surgeries and unpaid bills, and how surgeries are estimated and collected (a signed estimate and a deposit) and how the year is recorded (a clinic record with its causes).

Two critical errors cap the round: medicines bought from a website that is not an authorised supplier and the client list handed to a shop without consent. KPIs: agenda occupancy, controllable cost, units expired or lost per 1,000 and clients lost. Lesson: the agenda and the medicine store decide the clinic's profitability. Spanish primary, English parity.

Fictional clinic, company and people; real curriculum and rules cited.

What participants learn

After the session, participants will be able to:

  • Design a clinic agenda with slots by type of visit, grouped surgeries and held emergency slots, with reminders only to clients who agreed, and explain why equal slots lose time both ways
  • Calculate the price of a service from the veterinarian's and the technician's minutes, materials, medicines and a share of the equipment plus a margin, and explain what matching a competitor's cut does to the margin
  • Apply weekly ordering of medicines by consumption from an authorised supplier, recording batch and expiry on entry, storing by expiry and refusing purchases outside the authorised channel
  • Evaluate a summer rota built from the agenda and a client-retention plan with consent-based reminders, and justify why the client list cannot be handed to a third party for its offers
  • Design a clinic record of occupancy, the margin of each service, expired units and clients lost with their cause, and use a signed estimate with a deposit before surgeries

Who it is for

An introductory simulation that assumes no prior knowledge of the subject, designed for undergraduate courses. It also works in vocational and high-school programmes and in onboarding sessions.

How a session runs

  1. The instructor creates a session from the Eureka dashboard and invites the participants.
  2. Participants play 4 rounds. In each one they submit their decisions and the simulation calculates the results. The first round opens with: lunes 11 de enero, 9:00: la agenda y los precios.
  3. The simulation can be run in English, Español.
  4. The instructor follows each participant's progress and results from the dashboard, and uses the class results for the debrief.

Decisions participants make

The decisions participants make during the simulation:

  • Cómo se organiza la agenda
  • Cómo se ponen los precios
  • Cómo se compran los medicamentos
  • Cómo se controlan las caducidades
  • Cómo se organiza el equipo en verano
  • Cómo se captan y mantienen los clientes
  • Cómo se presupuestan y cobran las cirugías
  • Cómo se registra el año
