About this simulation

A newly qualified administrative technician has four weeks, from 1 to 26 March 2027, to bring the paper-based office of a fictional 26-person air-conditioning and electrical installation company in Salamanca (Spain) up to date.

Every week about 110 supplier invoices (40% on paper), 90 delivery notes from the technicians, 12 customer budgets and 3 electronic notifications from the administrations pass through an office with about 52 hours a week for paperwork.

Over four weekly decisions the participant chooses how supplier invoices are recorded (typed by hand, read by AI and posted unchecked, or read by AI and matched against the order and delivery note with people handling the differences), where documents come in and who watches the official electronic notifications; how invoices are approved for payment, how customers sign budgets (on paper, by replying OK, or with an advanced electronic signature) and how documents are filed and kept; what is automated first (a dashboard, indiscriminate AI-written payment reminders, or a collection sequence), how suppliers are paid and how the change reaches the technicians; and in the last week what is done with two personal-data requests, 140 old CVs and nine boxes of old papers.

The model is deterministic and rebuilt from the decision history each week: office hours and overtime, errors, late payments and prompt-payment discounts, missed notifications, signed jobs, lost delivery notes and collections.

The score combines the quality of each decision with the week's result after every office cost and the share of invoices and notifications handled on time and without error, and is capped when documents that must be kept are destroyed, when personal data are exposed or when data requests go unanswered. Spanish (primary, Spain) and English.

Who it is for

An intermediate simulation for participants who already know the core concepts of the subject, designed for master's and MBA programmes.

How a session runs

  1. The instructor creates a session from the Eureka dashboard and invites the participants.
  2. Participants play 4 rounds. In each one they submit their decisions and the simulation calculates the results. The first round opens with: La entrada.
  3. The simulation can be run in English, Español.
  4. The instructor follows each participant's progress and results from the dashboard, and uses the class results for the debrief.

Decisions participants make

The decisions participants make during the simulation:

  • Facturas de proveedores (unas 110 a la semana)
  • Por dónde entran los documentos
  • Notificaciones electrónicas de las administraciones (unas 3 a la semana)
  • Aprobación de facturas para el pago
  • Firma de presupuestos y contratos (12 a la semana)
  • Archivo y conservación
  • Lo primero que se automatiza
  • Pago a proveedores
  • Cómo llega el cambio a los técnicos (albaranes)
  • Las dos solicitudes de datos (acceso del extécnico y borrado de la clienta)
